Terms and Conditions
  1. Parties
    1.1. The party to the Agreement is ALT-F1 SRL, with its registered address at Drootbeekstraat 13, 1020 Laken, Belgium, hereinafter referred to as "PolyDocs" or "PD." The term "User" shall be understood as defined in point 2. 1.2. PolyDocs and the User are collectively referred to as the "Parties" and individually as a "Party."
  2. Definitions
    For the purposes of these Terms and Conditions, the following terms shall be understood as:
    • "Bot": A computer program that simulates interaction with a human and receives audio files, returning to the User a transcription and summary (depending on the length of the audio). The User may also interact with the Bot, which can answer questions, solve problems, and engage in conversations.
    • "Membership": The ability to acquire, through prepayment, premium services offered by PolyDocs, detailed in clause 7.
    • "Platform": WhatsApp, or any future platforms added by PolyDocs.
    • "User": Any individual or legal entity that uses the Bot, either via its free version or by acquiring the Membership service.
    • "Service": Any action performed by the Bot on behalf of the User. This Service may change over time, and the User should periodically review these Terms and Conditions.
    • "Site": The PolyDocs website located at https://www.alt-f1.be/ToS_PolyDocs .
  3. Amendments and Updates to Terms and Conditions
    3.1. PolyDocs may change or update these Terms and Conditions and the Privacy Policy at any time. Any changes will be communicated clearly to the User. In cases where significant changes are made, explicit consent will be obtained.
    3.2. By continuing to use the Services after being notified of changes, the User acknowledges and accepts the updated Terms and Conditions.
  4. Perfection of the Agreement and Validity
    4.1. By using PolyDocs's Services, accessing the Site, or registering for a Membership, the User acknowledges that they have read, understood, and accepted these Terms and Conditions.
    4.2. These Terms and Conditions remain in force as long as the User complies with their obligations and continues to use the Services.
    4.3. The User may cancel their Membership by visiting the payment provider’s portal (e.g., Stripe, mollie). PolyDocs reserves the right to suspend or terminate the User's account immediately if the User violates these Terms and Conditions or the Privacy Policy.
  5. Use of the Service and User Accounts
    5.1. Age Restriction: The Service is not available to persons under the age of 16 without parental supervision.
    5.2. User Obligations:
    • The User agrees to provide complete and accurate information and keep it updated.
    • The User shall not allow third parties to use their account, and if they do so, they will be solely responsible for the consequences.
    • In case of a security breach, the User must notify PolyDocs immediately.
    • The User agrees to comply with the Privacy Policy and all applicable laws.
    • The User shall not reverse engineer, decompile, or otherwise exploit the Site or Bot.
    • The User agrees not to share offensive or illegal content via the Bot.
  6. Service Description
    6.1. PolyDocs is a Bot that uses AI to transcribe audio files and generate summaries, with a limit of up to 20 minutes of free audio transcription per month. The Service is available on WhatsApp.
    6.2. The User acknowledges that transcriptions and summaries may omit details or contain errors and that any information provided by the Bot may not always be accurate or up to date.
  7. Payments and Refunds
    7.1. Certain Services may require payment, while others are offered for free. PolyDocs reserves the right to determine which Services require payment.
    7.2. The User may access free services or opt for a Membership, which provides additional benefits. Details and pricing are available at https://www.alt-f1.be/ToS_PolyDocs. Prices are subject to change and will be communicated in advance.
    7.3. Membership payments are processed through third-party platforms (e.g., Stripe, mollie), and the User should review the terms and conditions of these platforms.
    7.4. Right of Withdrawal for EU Users:
    • If the User is located in the EU, they have the right to withdraw from their Membership within 14 days of purchase without providing a reason. The User will receive a full refund.
    • To exercise this right, the User must contact PolyDocs within the withdrawal period.
  8. Privacy and Data Protection
    8.1. By accepting these Terms and Conditions, the User agrees to the Privacy Policy, which complies with the General Data Protection Regulation (GDPR) for EU-based users.
    8.2. PolyDocs will inform Users about how their data is collected, processed, and stored. Users have the right to access, correct, or delete their data, as well as object to or request the portability of their data.
    8.3. Personal data collected by third-party payment providers (e.g., Stripe, mollie) is governed by their respective privacy policies.
  9. Intellectual Property Rights
    9.1. PolyDocs is a registered trademark, and any unauthorized reproduction or use may result in legal action.
    9.2. All other trademarks mentioned are the property of their respective owners.
  10. Indemnification
    The User agrees to indemnify and hold harmless PolyDocs and its affiliates from any claims, damages, or losses arising from the misuse of the Service or any breach of these Terms and Conditions.
  11. Limitation of Liability
    11.1. PolyDocs shall not be held liable for any direct or indirect damages arising from the use or inability to use the Service.
    11.2. For EU-based users, PolyDocs 's liability shall be limited in accordance with applicable EU consumer protection law.
  12. Force Majeure
    PolyDocs is not liable for any failure to perform due to unforeseeable events beyond its control, including but not limited to natural disasters, acts of war, or government regulations.
  13. Relationship Between the Parties
    These Terms and Conditions do not create any joint venture, partnership, or employment relationship between the Parties.
  14. Severability
    If any provision is deemed invalid or unenforceable, the remaining provisions shall continue in full force and effect.
  15. No Waiver
    PolyDocs ’s failure to enforce any provision shall not be construed as a waiver of its right to enforce that provision or any other provision in the future.
  16. Applicable Law and Jurisdiction
    For Users, these Terms and Conditions shall be governed by and interpreted in accordance with the laws of Belgium. The Parties agree that any disputes arising out of or in connection with this Agreement shall be subject to the exclusive jurisdiction of the courts of Belgium.
